The Total Rewards & Systems Specialist is responsible for administering and overseeing the day to day operations of all employee benefits programs, our new HRIS systems, and our compensation and recognition programs. He/she will play a key role in ensuring HR compliance in these areas and will recommend improvements, and changes to HR processes that will increase data integrity, reduce manual intervention, as well as identify and effectively respond to customer needs. Will be a subject matter expert in all areas and be responsible for identifying data and reporting needs for HR department and managers.
Lead and project manage the implementation and enhancement of HCM systems and monitor ongoing effectiveness and efficiencies. Create project plans, meet with business owners, participate in testing, and troubleshooting any testing system issues with IS departments. Makes recommendations for improvements. Ensure maximum utilization to ensure return on investment.
Collaborate with business stakeholders to identify reporting needs for decision making, build reports, train others on reporting features and develop appropriate mechanisms for sharing meaningful data.
Update and maintain HRIS data within various systems. Ensure timely and accurate processing of all employee transactions by monitoring automated systems through review of transactions for data accuracy and integrity.
Assist with system maintenance and functionality while being the point of contact with vendors
Manage day-to-day relationship with outsourced benefits administration vendor and benefits carriers. Schedule and run annual and quarterly meetings with vendors and bring any concerns or recommendations forward. Participate in and actively contribute in benefit plan design and annual benefit plan renewal discussions with internal resources and external consultants and vendors.
Responsible for day-to-day administration of all benefit programs, including health and welfare benefits, 401(k) plan open enrollment process, and the Employee Stock Purchase Plan (ESPP).
Review and evaluate benefit plans for quality, cost-effectiveness, compliance, market competitiveness and employee satisfaction.
Ensure ERISA, HIPAA, ACA and other benefits law compliance requirements are met and educate others to improve compliance.
Accountable for accurate and timely benefits program administration. Ensure that benefits programs are administered in compliance to the established Human Resource policies, programs, and practices
Prepare, share, and maintain regular and ad hoc reports on benefits statistics to be shared on a regular basis with management.
Oversee employment verifications, unemployment insurance and workers’ compensation. Raise issues and concerns and trends to head of HR.
Serve as in-house resource for employees for escalated questions regarding benefit programs.
Processes new hires and terminated employees in COBRA.
Processes Unemployment Claims through third party.
Compensation, Recognition and Rewards
Oversee the compensation system including the development, administration and ongoing support of the salary structure, bonus program and short-term incentive program.
Participate in salary surveys where appropriate and make recommended changes to systems based on benchmark data which supports our compensation philosophy and maintains our competitiveness in the marketplace.
Manage the employee recognition and rewards program. Develop approaches for ensuring the program incents the right behaviors and that there is a clear understanding of the purpose and outcomes from the program.
Support compensation program administration including the detailed analysis during the annual performance review process; develop and distribute reports; assist with data analysis.
Stay current on laws, regulations, and plan design trends ensuring that the organization’s policies and programs conform and are competitive.
Education & Experience
Bachelor’s degree in a related area of study such as Management Information Systems or a relevant degree and proven capabilities in the implementation and use of HR systems.
Minimum of 5 years of related experience with compensation programs, benefits and HR systems including administration, data inputting and reporting
Experience leading or participating in an HRIS implementation.
